Get results in days, not monthsResults in days, not monthsIn lending, "lead" can mean a name from a form, a phone call, a referral from an agent or a purchased record sold to several lenders at once. They are not the same thing, and they do not close at the same rate. This guide separates the sources, defines what a good inquiry looks like, shows why the first call matters so much, explains the difference between buying leads and building your own channels and describes how to track a prospect all the way to a funded loan. We do not sell leads. We help you build channels you own.
Sources
| Source | Typical borrower | Strength | Weakness |
|---|---|---|---|
| Agent and builder referrals | Buyer under contract or about to make offers | Warm, trusted introduction | Depends on a few relationships and carries legal rules. |
| CPA and planner referrals | Self-employed, investors, people reviewing finances | High trust and good fit for complex files | Slower and smaller in volume. |
| Past borrowers | Refinance, equity, move-up | You already know them | Needs reminders and a reason to call. |
| Organic search and the map | Local searchers at every stage | Compounds and builds trust | Takes time and careful, honest pages. |
| Search ads | Borrowers searching right now | Fast and controllable | Needs tracking, negatives and licensed-state targeting. |
| Retargeting and email | Visitors who left before applying | Keeps you remembered | Needs consent, approval and restraint. |
| Shared lead marketplaces | Whoever filled out a form, often several lenders at once | Immediate volume | Speed race, uneven intent, price set by competition. |
Defining quality
Salespeople often say a lead is "good" or "bad" based on whether they closed it. That is hindsight. A better definition is agreed in advance and written down. For example, an inquiry may count as qualified if it is within your licensed states, for a program you offer, from a person who wants to talk about their own purchase or refinance and who is not an existing borrower looking for servicing help. Each of those parts can be tracked, which lets you see where waste is coming from.
Then add timing. A borrower with a contract in hand is a "call now" case. A person who says they are looking in six months is a nurture case. Both are valuable. They simply need different follow-up, and a pipeline that treats them the same loses the first and annoys the second.
Speed to lead
A new inquiry goes by text or email to someone who can act, with a backup if they do not respond.
A real person calls within minutes during business hours. If there is no answer, a short, human message follows that names the person who will call and invites a time.
If no one is available after hours, say so on the site and respond first thing the next morning, or arrange a trained answering partner you trust.
Rules about calling and texting people who submitted a form are a compliance subject. Agree your consent wording and process with counsel before automating any outreach.
Mark each inquiry as reached, appointment set, application started, not qualified or not interested, with a reason.
Buying versus building
A marketplace can supply contacts the same day. The trade-off is that the same person may be sold to several lenders, many contacts are early research instead of a plan to borrow and the winner is often the one who calls first, which means a team must be ready to stop what it is doing. For some shops with capacity and a tested script, that works. For others, it consumes loan officers' time on contacts who never intended to borrow.
Building your own channels is slower at the start but yields people who chose you. Over time, a library of guides, a trusted profile and a steady stream of reviews cost less to maintain than constantly rebuying attention. We do not sell leads or take a fee per inquiry. Our fee is flat and your accounts, pages and data stay yours. If you do try a marketplace, track it like any other source and compare funded loans per hour of loan officer time, not just cost per contact.
Nurture
Not a pitch
Answer the question they asked, offer a short call and mention one resource that fits their situation.
Short emails over months
Documents to start gathering, credit habits to keep up, what to avoid before applying and what a pre-approval does.
Triggered by stage
A note when they plan to start touring homes, when school year timelines approach or when a lease is ending.
A loan officer, not a robot
Occasional notes from a named person, with a phone number and an easy way to reply.
Respect the choice
Honor requests right away. Quiet respect keeps goodwill and keeps you inside the rules.
Tracking
| Stage | What to record | Who records it | Why it matters |
|---|---|---|---|
| First touch | Source, program, borrower type, time | Call tracking and forms | Shows which channels deserve credit. |
| First contact | Time to reply and outcome | Loan officer or assistant | Reveals speed problems. |
| Application | Date started and program | Application system | Separates curiosity from intent. |
| Approval and conditions | Dates and stalls | Processor or loan officer | Shows where files lose momentum. |
| Funded | Date and source confirmed | Loan officer | Closes the loop. |
| After closing | Review requested, referral made, anniversary set | Team | Feeds the next loan. |
What we do and do not do
We build and manage owned channels: search, maps, paid ads, websites and the guides that support them. We help you set up tracking and review the numbers with you. We do not sell leads, buy leads for you, run your phones or negotiate arrangements with referral partners. We also will not guarantee a number of inquiries or loans, because no honest vendor can. What we can promise is flat pricing, visible work and the freedom to leave whenever it stops making sense.
Vetting any lead vendor
| Question | Why it matters | A concerning answer |
|---|---|---|
| How many lenders receive the same contact? | Shared contacts turn into a race | We do not say, or the number is large. |
| How did the borrower consent to be contacted? | Calling and texting rules apply | A vague or hidden consent statement. |
| What counts as a refundable lead? | Bad numbers and duplicates happen | No clear policy or a very short window. |
| Can I see the form the borrower filled out? | Shows what they were told | Refusal or a different form than described. |
| Are there contracts or minimums? | Flexibility matters | Long commitments with penalties. |
| How is the product described to borrowers? | Advertising rules apply to the vendor and may affect you | Rate claims or implied guarantees. |
Referral partners, handled properly
Mortgage mortgage brokers often ask how to win more business from real estate agents without crossing a line. The honest answer is to be excellent at the things agents need: fast, clear pre-approval letters, calm updates during escrow, accurate communication with their client and a clean file at closing. Beyond that, helpful content for agents to share, a short guide to what buyers should know before touring homes or an offer to speak at an office meeting are all ways to help. Anything that moves money, shares marketing costs or rewards referrals needs legal review before you do it, and we stay out of it.
Past clients are also a source of introductions. A courteous follow-up after closing, an annual check-in and a simple way to share your details make it easy for happy borrowers to recommend a mortgage broker they trust.
Seasonal intake
Inquiry volume swings. Spring often brings a rush, and a sudden change in market conditions can bring a refinance wave. A pipeline that works in a normal month can fail in a busy one if calls go unanswered. Before you raise ad budgets or announce a new program, ask whether your team can handle an extra surge of calls and applications without slowing down. If not, hold back or arrange help. Marketing that produces more inquiries than you can serve damages reputation and wastes spend, so growth in demand and growth in capacity should move together.
A practical test
Here is a simple exercise. Take your last twenty funded loans and write next to each one how that borrower first reached your mortgage broker business: a referral, a search, an ad, a past loan, a marketplace. Then add the hours your team spent on the files. The pattern usually surprises people. A mortgage broker may find that a small source, such as one accountant's referrals, produced more closings than an expensive channel, or that a marketplace produced many conversations and few loans.
Repeat the exercise every six months. It costs nothing, it tells you where each marketing dollar and each hour belongs and it keeps arguments about channels grounded in the one result that matters to a mortgage broker: money earned from loans that closed.
The broker model and lead quality
A mortgage broker is paid when a loan closes, usually through a lender or the borrower under rules that depend on the state and the loan. That means every inquiry is a bet of an officer's time against a payment that may arrive weeks or months later. Because a mortgage broker works with several wholesale lenders, a single inquiry might be placed in a handful of ways, which is a strength when a borrower's file does not fit a bank's standard box and a source of extra work when it does not.
Put those two facts together and you can see why quality beats volume. A mortgage broker with five carefully qualified inquiries in a week often does better than one with thirty vague ones, because each inquiry takes the same minutes to answer. When you review lead sources, count funded loans per hour of officer time, then ask what changes would increase that number. Often the answer is not more leads at all, but faster replies, clearer questions at the start and a better follow-up rhythm for the buyers who are not ready.
Fees by channel
Pipeline questions
It depends on the channels. RankGuarantee™ landing pages are $495 a month, managed paid ads start at $895 a month for one platform and Organic Growth SEO starts at $1,495 a month. Ad spend is separate, with no contracts or setup fees.
No. We do not sell, buy or resell leads. Everything we build is designed to bring borrowers directly to your business, and the accounts and data stay with you.
They can be if you respond quickly, have capacity and track funded loans per hour of work. Many shops find owned channels fit better over time. We suggest testing a marketplace with a small commitment and strict tracking.
As quickly as you reasonably can, ideally within minutes during business hours. Set clear expectations for after hours, and ask counsel about consent rules for calls and texts.
Review where they come from. Often the cause is broad keywords, servicing phrases, targeting outside licensed areas or a vague form. We tighten each of those and ask your team to mark the reasons.
Offer a helpful reply, a short resource and a gentle check-in schedule. Keep the tone low pressure and the frequency modest, and follow your company rules on email and text.
It rarely should. Online presence supports referrals by verifying you, and owned channels reduce dependence on any single source. Keep both and be careful about how referral relationships are structured.
